Have you ever noticed that QuickBooks invoices are very plain and boring to look at. Thats because you need to customize them for your business before you start sending them out. The newer versions of QuickBooks make this easy to do by having different templates to choose from. However you can make an invoice your own using any version of the software. Its fun and easy to do, so lets get started.
To create your custom invoice, choose Templates from the List menu. From the Templates button choose new and select Invoice. QuickBooks will make a copy of the original template and rename the template file.
The most important thing is you want to add your company’s logo. In the Logo and fonts area check the use logo box and upload your logo from your computer. You can also change the font, font size, and color while in this area. Click on any of your company information and click fonts. This can also be done in Layout Designer. I actually think it’s easier there but you can decide for yourself once you get started.
The next step is deciding what information you want on your invoice. To do this click on additional customization and scan through the options available. You can add or delete information from the Header, Columns and Footer. You can also choose to have information only show up on your screen and not the printed version or the other way around.
Next click on Layout Designer and begin the process of customizing your template.
- You can move any of the fields by clicking and dragging to a new location.
- To resize your logo or any other boxes just click on a corner and drag it larger or smaller.
- To change the text size of the document title or your company information, click on the field, choose properties then font, you can increase or decrease size. If you want this is also where you’d change the font or the font style.
- If you want to color in the background of any the text boxes, right click, choose properties, the background tab, and check fill background, then select your color
- You can also change your borders on any box, select the box, properties and the borders tab
Play with it and make it your own. Adding color is a great way to bring out some of the detail, but don’t go overboard. You want to make the document nice to look at but not take away from the purpose of the document itself. Make sure you have all the correct contact information. The fact that its an invoice and there is an amount due by a certain time should be easily noticeable.
After creating your design make sure you save your changes. Before saving the template, check that the name is something you’ll easily remember. If you need to change it, go into the manage templates area. The next time you are invoicing customers you’ll have to select the new template. After that QuickBooks will save it as your default invoice template.
